Organising Material Management in UK Outpatient Clinics Digitally
Deliveries must be received, unpacked and inspected, temporarily stored where necessary, transported internally and finally booked into stock. When these activities rely on paper records, spreadsheets, emails and verbal communication, gaps in traceability quickly emerge. This becomes particularly problematic across larger healthcare sites with several buildings, clinical departments or decentralised medical supply stores.
Digital material management should therefore start at goods receipt – not at the stockroom door.
Capture material deliveries as soon as they arrive
With COSYS Parcel Inhouse Software, incoming parcels can be captured by barcode at reception or goods receipt and assigned to a recipient, department or internal process. Medical supplies, goods and sample shipments can therefore be documented alongside standard parcel deliveries.
Once a delivery is unpacked, its condition becomes important. Damaged outer packaging or visible abnormalities can be documented by taking photographs and linking them directly to the relevant delivery.
This process can be enhanced with Computer Vision. AI-assisted image analysis can identify visible damage to goods or packaging and support damage descriptions. Instead of transferring handwritten notes into another system later, evidence is created directly during the inspection process.
What an end-to-end digital material flow looks like
Consider a large outpatient healthcare centre with several clinical departments. In the morning, a delivery containing sterile single-use instruments and other medical consumables arrives. A member of staff scans the parcel and assigns it to the designated clinical supply area.
While unpacking the shipment, they notice that one corner of the outer carton has been badly crushed. A photograph is taken and linked to the delivery record. Image analysis supports the damage documentation, allowing affected items to be inspected separately while undamaged supplies continue through the material flow.
The internal logistics team is currently handling other jobs, so the delivery does not have to remain unattended at reception. Instead, it is temporarily placed in a COSYS smart material locker or secure handover locker. The compartment is digitally assigned and can only be accessed by authorised staff. Both deposit and collection remain traceable.
A member of the logistics team subsequently accepts the assigned transport job and moves the delivery to the central medical supply store. There, the products are scanned, assigned to their storage locations and relevant information such as batch numbers and expiry dates can be recorded.
The original courier parcel has now become a completely documented material movement – from goods receipt to its final storage location.
Connect internal logistics with inventory management
This connection is particularly valuable for larger outpatient centres and multi-building healthcare facilities. Digitising goods receipt alone does not solve the underlying problem if staff still have to ask who is supposed to move supplies from Building A to Store B.
With COSYS Internal Transport Management, transport jobs can be centrally created and managed with origin, destination, contents and priority. Mobile status updates document collection and handover, while logistics coordinators can see which jobs are open, in progress or completed.
At the destination, COSYS Warehouse Management Software takes over. Quantities, storage locations, batch numbers, serial numbers and expiry dates can be managed digitally. Mobile stock information also enables staff to check actual availability directly within the medical supply store.
Parcel receipt, secure handover, internal transport and inventory management therefore become one connected workflow rather than four isolated processes.
Improve healthcare material management with process data
The next level of value comes from the data generated throughout these workflows. Using the COSYS WebDesk and Business Intelligence, healthcare organisations can analyse incoming delivery volumes, stock development, internal transport lead times and other operational KPIs. Forecasting can use historical data to identify patterns and support future demand planning.
For the healthcare centre in our example, this means that weeks later nobody needs to reconstruct when a delivery arrived, where it was temporarily stored or when it reached the medical supply store. At management level, the organisation can also identify which supplies are frequently moved, when delivery volumes peak and where internal transport jobs regularly take longer than expected.
Material management therefore becomes not only digitally traceable, but measurable.
This becomes increasingly relevant as outpatient healthcare organisations expand across additional departments, buildings and sites. More treatment capacity also means more deliveries, stock locations and internal supply movements to coordinate.
For organisations looking at developments in European pharmacy and healthcare logistics, expopharm 2026 in Munich also provides an opportunity to explore current approaches to digital supply processes. COSYS follows an integrated approach: modular software, mobile data capture and hardware, smart locker technology, services, Business Intelligence and process data analysis can be combined according to the actual material flow.
Want to explore the processes yourself? The free COSYS demo apps are available via the Google Play Store and Apple App Store, providing a practical introduction to mobile data capture.
